EventOps is a platform designed to support event management, monitoring, operational planning, team coordination, incident management, maintenance, security, exhibitors, logistics, analytics, and reporting.

2. Data We Process

Depending on how the platform is used, EventOps may process information necessary to provide its services, including user identification and authentication data, operational records, tickets, incidents, reports, team assignments, maintenance records, uploaded files, and other information entered by authorised users.

Where location functionality is enabled and authorised, GPS information may be processed for operational coordination, incident location, team positioning, and navigation.

3. Purpose of Processing

Personal data is processed only as necessary for legitimate operational purposes, including:

  • Event operations and coordination;
  • User authentication and access management;
  • Ticket and incident management;
  • Team and maintenance coordination;
  • Communication between authorised teams;
  • Operational reporting, analytics, and auditing;
  • Security, troubleshooting, and service improvement.

4. Booking.com and Third-Party Integrations

EventOps may integrate with third-party services to complement event operational information with relevant external data. In the context of accommodation analysis, the intended use of a Booking.com integration is to obtain aggregated and statistical information about accommodation availability and demand in areas surrounding a specific event.

Data minimisation: EventOps does not require access to, and will not intentionally collect or process, personal customer information such as names, contact details, payment information, or individual booking details from Booking.com for this use case.

Accommodation-related information would be used for event planning, operational analysis, visitor-flow forecasting, assessment of local accommodation capacity, and decision-making. Any third-party integration will be subject to the applicable provider terms, privacy requirements, and technical safeguards.

5. Data Security

EventOps applies appropriate technical and organisational measures designed to protect information against unauthorised access, disclosure, alteration, loss, or destruction. These measures may include encrypted connections, access controls, role-based permissions, password protection, audit logs, backups, and access monitoring.

No online system can be guaranteed to be completely secure, but EventOps continuously seeks to maintain appropriate security controls for the services it provides.

6. Data Retention

Information is retained only for as long as reasonably necessary for the purposes for which it was collected, to provide the EventOps service, meet contractual or legal obligations, resolve disputes, maintain security, and support legitimate operational or audit requirements.

EventOps does not sell personal data. Information may be disclosed to authorised service providers or integration partners only where necessary to provide or secure the service, or where required by law. Access is limited according to the applicable permissions and contractual requirements.
